The two weeks

What actually happens.

We walk the ground

A half day on site. We open cupboards, look at the shared drive, and watch how a document actually gets filed and found today. We talk to the person who does it, not only the person who owns it.

We count and sample

Volumes, formats, condition, duplication. We take a representative sample and test the real questions: can this document be produced, in full, with its history, today?

We write it up

The register, the risk list and the costed plan, presented in a meeting rather than emailed as a PDF, so you can argue with it while we are in the room.

Why it is shaped this way

A small commitment, on purpose.

Document projects have a reputation, and it is deserved. They are sold on a survey nobody checked, scoped from optimistic volumes, and priced before anyone opened a cupboard.

The assessment exists so that neither of us has to guess. You find out what you hold and what it would cost. We find out whether we can actually help. If the answer is that you have a smaller problem than you thought, we will say so, and the register is still worth having.

Before you ask

The practical questions.

How disruptive is it?

A half day on site, then a couple of short calls. We do not need your team to prepare anything, and we would rather see the filing as it is than as it would be if you tidied first.

What does it cost?

It depends on how much you hold and how many sites, so we quote it after a thirty minute call rather than publishing a number that would be wrong for most people. We tell you the figure before you commit to anything.

Do we have to move our documents anywhere?

Not for the assessment. Nothing leaves your premises. Where documents live afterwards is a decision we make with you, and it goes into the service agreement.

Who sees our documents during it?

The named people doing the assessment, under a signed confidentiality agreement, and nobody else. We sample rather than read, and we do not copy anything off site without your written agreement.
